WE’RE TAKING CARE OF YOU AND OUR EMPLOYEES

At Comwell, we are still making sure that our guests feel safe when they stay at our hotels. The safety of our guests and employees is our highest priority, which is why we are in ongoing dialogue with the relevant authorities and, of course, taking the necessary precautions in accordance with their recommendations.

We have taken the following precautions so that you can visit us safely

  • HYGIENE/CLEANING
  • Extended cleaning procedures – with a special focus on cleaning contact surfaces in rooms, meeting rooms and restaurants.
  • Hand sanitiser dispensers are available in common areas within the hotels.
  • Official guidelines are clearly on display.

  • FOOD AND SERVICE
  • We strive to serve meals and food in portions at buffets. We are serving food on smaller plates, and we have a strong focus on hygienehave a strong focus on good hygiene 
  • Naturally, we comply with the authorities' social distancing requirements within our restaurants, and have introduced "double seating" so there is plenty of space
  • All contact surfaces are disinfected and serving utensils are replaced regularly
  • Gloves/sanitiser will be available in several places in the serving area.

  • RESTAURANTS AND BARS
  • Restaurants and bars will close no later than 2 AM. 
  • Drinks can be ordered and enjoyed at the bar until 22:00, but you cannot sit down at the bar itself
  • Parties of more than 10 people in bars and restaurants are not allowed 
  • All guests must wear masks when not seated  

  • USE OF FACE MASKS
  • All guests and staff must wear face masks in all public areas at our hotels except when seated in our restaurants and bars
  • There is no requirement to use a face mask in meeting rooms or private dinning rooms
      
  • MEETING ROOMS
  • We ensure the necessary distancing between participants, in compliance with the authorities' requirements
  • We provide continuous ventilation in meeting rooms
  • Pens and pads of paper in meeting rooms are replaced every day
  • Technical equipment is disinfected before use
  • There is no requirement to use a face mask in meeting rooms´

  • CO-WORK AREAS
  • Co-Work has reopened, so you can now use the flexible workstations in our Co-Work areas.  
  • Co-Work will be open to guests as well as external clients.
  • Hand sanitiser will be available on all tables in the Co-Work area, and contact surfaces will be wiped regularly.
  • Hand sanitiser and gloves are available at the coffee stations.
  • Adequate distance between seats is ensured.

  • GYM
  • Whether or not the gym is open will vary from hotel to hotel. Contact the hotel you are visiting for more information. 

  • SPA
  • Extended cleaning procedures
  • Hand sanitiser dispensers will be available
  • Official guidelines are clearly on display
  • We are limiting the number of guests at the spa using visiting intervals in order to maintain social distancing
  • There are signs displaying the maximum number of guests per spa activity (sauna, baths, etc.).
  • Spa guests who are staying at the hotel are advised to shower in their own rooms before visiting the AquaSpa

WHAT CAN YOU DO AS A GUEST

  • As a guest at Comwell, we recommend that you follow government guidelines
  • Wash your hands frequently and use our hand sanitiser dispensers
  • Cough or sneeze into your elbow. The Danish Health Authority also recommends that you sneeze into a paper handkerchief, which should be disposed of immediately
  • Limit physical contact
  • Keep your distance
  • Follow the signs at our hotels concerning the maximum number of guests allowed in rooms
  • Use masks where instructed, in all public areas
  • If you are ill or show symptoms of coronavirus, we ask that you stay at home.

GUIDELINES FOR MEETINGS

In order to ensure a safe and secure environment for assemblies, the parties of the Danish Parliament are continuously adjusting the assembly ban and the associated guidelines. The assembly ban currently involves a limit of 10 people, but up to 500 people are allowed to assemble at Comwell, as we are covered by the sector partnerships, which means that we are subject to special requirements regarding hygiene, distance and space. We are of course up to date with these requirements and are in full compliance with them. 

The following guidelines will apply for the organisation of meetings and conferences at Comwell.  

MEETINGS WITH LESS THAN 11 PARTICIPANTS

  • Food and drinks are served in or outside the meeting room during meeting breaks
  • Breakfast, lunch and dinner can be enjoyed in the restaurant
  • Face masks must be worn in all public areas except when seated in our restaurants and bars
  • We are in full compliance with the special requirements for hygiene, space and distance

 

 MEETINGS WITH MORE THAN 10 PARTICIPANTS

  •  Up to 500 people can assemble at Comwell
    (as we are covered by the sector partnerships) 
  • Participants must essentially sit on fixed seats facing a stage, screen, moderator or similar
  • The entire meeting/conference must take place in the same room
  • Food and drinks must be enjoyed in the meeting room. We will deliver food and refreshments to – or just outside – the meeting room
  • Participants are permitted to leave their seats for a short time to pick up coffee, cake, food and drinks from a table in the room or just outside the room, and then bring it back to their fixed seat
  • There is no requirement to use a face mask in the room
  • We are in full compliance with the special requirements for hygiene, space and distance

PRIVATE AND COMPANY PARTIES (GUIDELINES)

Requirements and guidelines for hosting parties and events depend on the nature of the event and its participants. Everyone has a shared responsibility to keep their distance, maintain good hygiene and stay at home if they have any symptoms.

Here are some general principles for hosting parties and events with us, based on government guidelines.

A PARTY IN ITS OWN PRIVATE ROOM
(a closed party where the participants mainly know each other):

  • The limit on social gatherings means that guests must primarily be seated during the event
  • There can be a maximum of 10 guests
  •  Space requirements: 2 m2 per guest in the room
  • "Limited" dancing may be allowed at the end of the event. This will be based on an individual assessment of the event
  • Live music/concerts, DJs, etc. are allowed, but the rules about dance floors must be observed
  • The event must end no later than 10 PM
  •  All guests must wear face masks in all public areas 
  • It is not a requirement to wear a face mask in a private dining room

GROUP EVENTS IN THE SAME ROOM/RESTAURANT:

  • The ban on social gatherings means that guests must primarily be seated
  • There must be at least 1 metre between different groups
  • Each party must have a maximum of 10 people  
  • Space requirements: 2 m2 per guest in the room
  • There can be no dance floor, as this is a "public" event
  • Live music/concerts, DJs etc. are allowed, but there can be no dance floor.
  • You can be served until 10 PM
  • The event must end no later than 10 PM
  • All guests must wear masks when not seated

CANCELLATION OF MEETINGS AND CONFERENCES

During these extraordinary Covid-19 times, we are offering special cancellation policies, which offer great flexibility when booking meetings.  

MEETINGS COSTING LESS THAN DKK 200,000 (incl. VAT) DUE TO TAKE PLACE BEFORE 31 MARCH 2021*:

  • Cancellation
  • More than 30 days before the first day of the event: Free cancellation.
  • Less than 30 days before the first day of the event: Invoice for 75% of the most recently agreed reservation cost.
  • Less than 2 days before the first day of the event: Invoice for 100% of the most recently agreed reservation cost. 

  • Reduction and rearrangement
  • Cancellations of up to 10% of the participant numbers stated on the order confirmation can be made free of charge up to 48 hours before the first day of the event.
  • More than 10 days before the first day of the event: The meeting can be rearranged for another date in 2021 at the same or another Comwell hotel free of charge. Price changes may apply when moving the meeting. The meeting can only be moved once and can not be cancelled.
  • Between 10 and 2 days before the first day of the event: The meeting can be rearranged for no later than 60 days after the original event. Price changes may apply when moving the meeting. The meeting can only be moved once and can then not be canceled.  

* Does not apply to Comwell Conference Center Copenhagen or Centralværkstedet/Smedien.

For other bookings, the following cancellation policies apply for meetings/conferences.


CANCELLATION OF GROUP EVENTS AS WELL AS PRIVATE AND COMPANY PARTIES

For parties or group events, please check the cancellation policy stated in the agreement. 

We are monitoring the situation and instructions from the authorities very carefully, which is why this policy will be updated regularly.

CANCELLATION OF STAYS

Cancellation of bookings for rooms with or without breakfast.
Bookings for rooms with or without breakfast can be cancelled free of charge until 16:00 on the day of arrival. If the room booking is cancelled after 16:00 local time, we will invoice for the first night.

Cancellation of non-refundable/advance purchases
Bookings for prepaid stays such as events, concerts and special events are all paid for in advance and cannot be changed, cancelled or refunded after they have been booked. Payment is deducted from the payment card at the time of booking. The website will always state whether stays, events, concerts and special events are paid for in advance.

Cancellation of stays including dinner and/or spa treatments
Stays including dinner and/or spa treatments can be cancelled free of charge up to 7 days before arrival. If a cancellation is made between 6 and 2 days prior to arrival, 50% of the cost of the stay will be invoiced. If a cancellation is made fewer than 2 days prior to arrival, the full cost of the stay will be invoiced.
